Juniper Websites: Resource Booking

  • Updated

Resource Booking is an additional module which can be added to the website to allow booking of Resources within school.  These could be anything from a digital camera to a room you wish to make available.

We recommend that resource categories are made secure and staff are provided with login details to access and book resources.

AnchorCreate a Resource Category

You will need to create a category to hold your Resources.  For example, this could be something like 'Rooms',  'Sports Equipment' or 'IT Equipment'.

  • Open the page you wish to create the Category under.

  • Click on Create in the Admin Menu and choose Resources.

  • You will then be prompted to enter the details of the Category.

  • Click the Create button.

AnchorCreate a Resource

Once you have created a category, you can add the individual resources.

  • Whilst in the Resource Category, click on the Create on the Admin Menu and choose Resource.

  • Enter a title and description for the resource you would like to share, and use the availability options to set the days and times the resource will be available.

Resource Settings

  • Click on the settings button on the edit menu.

  • Select a user to become the Resource Manager.

  • Choose whether you wish them to receive an email when a booking is made.

  • Set Maximum  simultaneous bookings
This is useful if you have more than one instance of an item to loan out.  For example, if you have 10 Digital Cameras, you can create one resource and allow it to be booked multiple times.

  • Select the colour you wish the calendar booking to appear.

  • Set capacity if needed.  This is useful for items such as rooms or vehicles.  The figure will display in the information about the resource.

  • Click on the booking button on the edit menu

  • Set the Public Access option to Yes if you want to allow anyone to access the bookings without logging in, or No to make the page secure.  Then select the user roles you would like to be able to login to this item.

  • Once all the details have been added, save the resource.

The Booking Calendar

Once you have saved the resource, you will be able to see the Booking Calendar.  This will now show any bookings that are made by users and will allow you to make a booking using the button at the bottom.

AnchorAuthorising Booking Requests

When a user makes a booking the resource manager, specified in the settings, will receive an email to let them know.  The bookings can then be reviewed and authorised through Home> My Tasks on the admin toolbar.  The booking can be either approved, or rejected with the option to add a reason.  The end user will receive an email confirming their booking, or letting them know the reason for rejection.
