As the end of the academic year approaches, there are things you can get underway for the new school year. If there are things we need to do for you, these should be requested before the end of term to ensure prompt turnaround times.
As we all know, September is the busiest time of year for our sector and as a result, we receive a higher volume of queries throughout September. This means it will take longer than usual to process any requests. This checklist will help our customers to be as prepared for the new academic year, as possible

Have you arranged your end-of-year archiving?
Did you know we can archive your class pages and gallery over the summer break ready for the new school year?
You can book your archiving via the archiving booking form which will provide us with all the information we require to get this scheduled and completed for you as requested
Archiving prices are as follows:
- Archiving large sections such as Class pages: £109.00
- Archiving regular pages such as the Gallery: £75.00
Your previous years’ content will still be accessible via a link at the bottom of the page.
Please note- We can only archive entire pages and cannot archive parts of pages. We cannot archive special pages such as your latest news page and special newsletter page.
Is your homepage up to date?
Tasks such as homepage changes can take longer in September due to the increased demand. With that in mind, before the end of the year, check what changes you need to make to your site ready for the new school year.
You can then email support.ps@junipereducation.org to make these changes or schedule them for a specific date before or over the summer break.
The things you may need to check:
- Are all your quick links correct, working and still relevant?
- Are all your navigation headings still relevant?
- Is your awards bar up to date?
- Does everything else work as expected?
- Do you need to restructure your site?
- Is your Ofsted Logo Up to date?
Do you need to update your homepage slideshow?
Whether you need to remove images or refresh your slideshow, this is something we recommend avoiding in September. Any such requests received in September will be subject to longer turnaround times (up to two weeks)
Get these changes sent before September, and these will be ready for the new year
- You can send over the photos you wish to use on your homepage via www.wetransfer.com
- Please add support.ps@junipereducation.org in the ‘Email to:’ field.
- Please ensure you add your school name and postcode in the comments and any other specific instructions with regards to the images (the order they appear etc)
- Please also note that the slideshow will only hold 8 images so we request you send no more than 12 images for us to choose from.
- Please also email us the link you get from we Transfer to ensure your request is picked up ok
Please follow the guidelines below when supplying your photography:
- Image dimensions should be 1800-2000px x 1120-1400 px
- File size should be no larger than 5mb
- They should be in JPEG format
- The images for your homepage should be landscape orientation
- The main subject or focus should be in the bottom two-thirds of the image
Chargeable design or homepage changes?
You may wish to make other changes to your site that may be chargeable or to refresh your site.

Please note we cannot amend the template of your design but make slight changes like the colours, changes to navigation or adding additional elements. These will be subject to a fee.

Ensure your MIS data is entered correctly
One of our biggest queries in September is data from your MIS not pulling through as you expected. Taking a proactive approach in checking and understanding the data we need to pull and how you need to set this up can be beneficial to a seamless transition to the new school year
The following points are the most frequent queries we receive, take some time to understand what is required and the implications of not entering this data correctly
Allow enough time for data to pull through
Data starts pulling through at 10am and 4pm and can take up to 4 hours to appear in your contact data.
Cross-check your data with a pupil who is pulling through ok to ensure all fields have been entered correctly
We can only pull through data that meets certain requirements and if this is not entered or categorised correctly, this data will not pull through to us.
Court order box
We are unable to pull through contacts that have the court order box ticked. You will need to add these via the manually added contacts how to add manually added contacts.
New and old pupils- has a start/end date been entered
The pupil will only appear on the start date once it has had a chance to pull through. This would start pulling through at 10am on the pupil start date so appear after midday.
The same applies for leavers and the leave date
Setting Priorities
The SMS area and the booking system requires the pupil to have a priority one contact for the pupil to pull through
The app requires you to grant them app permission and they need a mobile number.
Entering your data correctly in your MIS
Please note that these are the fields we pull through and data needs to be completed in these relevant fields to appear in the contacts area. Pay specific attention to the email and phone number fields that must be set as Mobile number and primary email.
StudentID, Name, Year, Reg, ContactID, Priority, Title, Surname, Forename, Mobile number, Primary Email.
MIS servers and other likely issues
Over the summer break, your servers may be switched off or updated, this can cause errors on our end which prevents further updates which we will need to manually rectify.
If your MIS data is not updating, it may be worth checking with your IT team to see if if this may be the case and advise us if this is the likely issue.
