Welcome to our step by step guide for being able to add a Newsletter within your Primarysite Website.
In this guide we will cover:
- How to add a Newsletter
- How to edit your Newsletter
- How to add external Newsletter links (Sway)
This document will help you achieve these things in an easy step by step process. If you have any questions, please get in touch.
Getting Started
Firstly, you will need to log into your website. This may be done by either clicking a padlock icon or it could be that the words ‘log in’ are situated on the homepage, either in a corner or at the bottom of the page.
A log in screen will then appear, for your details.
As default only, either a super user or anyone under the office role type will have the permission to upload a Newsletter. We can however amend the permissions for editing for other role types if required. Please give us a call to do this.
How to Add a Newsletter
To be able to add a Newsletter, you will need to firstly go to the navigation menu, where your Newsletters page sits, typically this is located under the News and Events navigation.
Once you have clicked the Newsletter page within the navigation, the below screen will then appear.
You will then need to click the blue ‘Edit Newsletters’ button which can be located in the top left corner of the page on the white bar.
Once you have clicked the ‘Edit Newsletter’ button, you will be taken to the below screen.
You have the option to add some introduction text to the page, should you wish. To do this you will need to click the yellow ‘edit introduction text’ button. A free text box will then appear for you to add your required text. Click the blue ‘save’ button to then add this to your entry.
To then add a Newsletter, you will need to click the yellow ‘create new’ button on the right-hand side.
Once you have clicked the yellow ‘create new’ button you will then see the below screen.
Here you can add your Newsletter title and date of the Newsletter.
You can either drag and drop your files into the file uploader or you can select the ‘Add Files’ button to select your document from where you have this saved on your PC/device. Once selected click the ‘upload’ button.
Once you have uploaded your file, you will then see the screen below, which shows if the upload was successful. You will then need to click the blue ‘save’ button at the bottom of the screen.
Clicking the blue ‘save’ button will then publish your Newsletter onto the Newsletter page.
You can see that once your newsletter has been posted, it will appear in date order of the newest article first. Your newsletter will automatically archive down the right-hand side by year and month of when these items were posted.
Please note you will only be able to add documents to your Newsletters page.
How to Edit a Newsletter
Should you ever need to edit the title and date of any Newsletter entries that have already been added to the website, you can do so by going to the Newsletter page and selecting the blue ‘Edit Newsletters’ button in the top left corner.
You will then be taken to the edit Newsletter screen, where you will see a list of your existing Newsletters. Next to each of these will be a yellow edit pencil button and a red ‘x’ button.
Clicking the red ‘x’ button allows you to delete, should you need to. You will be prompted by a message before you delete this item to ensure you are happy to do this.
Clicking the yellow edit pencil button will take you to the edit Newsletter screen where you will have the option to change the title given and the date the Newsletter was posted. Once done click the blue ‘save’ button. This will then update the entry on the Newsletter page.
How to add external Newsletter links
It's not possible to incorporate links (such as Sway) into your existing special newsletter page. This page is specifically designed to populate documents and this functionality cannot be amended
To add sway links, you'll need to create a new page with an appropriate name. Once you've done that, you'll be able to insert your Sway links on this new standard page following the guide to add external links.
Regrettably, we cannot allow standard pages to feed directly on the homepage. If you do have a feed on the homepage, we can modify the feed to be a link that, when clicked, will lead users directly to the newly created Sway newsletters page.
