People First: How do I create a person (add a new starter)?

Overview

This article explains how to create a person (add a new starter) / employee. Employees are created by assigning them to vacant roles. 

Existing roles can be moved from another department if necessary.

Prerequisites

  • You must have an appropriate Job role within a department defined, to create a person. For further information, see People First: How do I create a job?.
  • The Organisation at this date must be set to the current date when you add a person. 

Instructions

Follow these steps to create a person from the Job Summary window, which can be viewed after creating a role, for the new employee or by selecting an already vacant role in the Organisation Chart:

  1. Select Create person:

  2. From Create person, complete all mandatory fields and any optional fields you wish to:

    Employment start date Enter the applicable start date.
    Personal reference Enter a personal reference here.
    Legislation Select United Kingdom.
    Social security number
    • This is the employee's National Insurance Number.
    • Select Remove if the employee's NI details are not available at this point.

      NI details must be submitted before the payroll can be completed at month end.

  3. When completed, select Create.
  4. When prompted, select a Start date and Job (use the job role Reference number from the Job information pane you noted when creating the job):
  5. Select Save.
  6. If the position has an End date, a message will appear confirming that the person will be unassigned to the role on that date. Select OK to continue. 

Outcome

The person is created and assigned to the Job. A message confirms this, before you are returned to the Organisation Chart view, where the job role is now filled with the name of the person that you have just entered:
