MIS: How do I view the audit log for changes made to a pupil record?

Overview

This article explains how to view an audit log of changes made to a selected pupil record within the MIS. The pupil audit log shows who made each change and when, which can help identify the cause of issues or unauthorised access. The log also offers traceability and accountability, supporting GDPR compliance requirements.

All data imported from third-party systems will be logged under the default organisational Juniper Admin User ID.

Prerequisites

  • This feature is only available to Full MIS customers.
  • Your user permissions must be Account Owner to access audit logs. 

Instructions

Follow these steps in the MIS to view the audit log for a pupil:

  1. Select Pupils.
  2. Select All Pupils.
  3. Locate the pupil whose audit log you want to view using the search feature or filters as needed.
  4. Select the pupil's Full Name to open their record.
  5. From the pupil record:
    1. Select More.
    2. Select Audit Log.

Outcome

The pupil's Audit Log is displayed, comprising details of any updates (Old Values and New Values), who made them and when:

  1. To search for a specific entry in the log, enter a value into the Search bar.
  2. Select Filters to specify a date range (Start Date to End Date), the Object Type (Pupil, Staff, Group or Contact) and the Action Type (Created, Updated or Deleted).
  3. Select Export to export the details listed in either an Excel, CSV, or PDF format.
  4. Select an individual log entry to view its contents, which includes the specifics of the changes made.
