Custom Data Fields (CDFs) can be added to your school to record additional data for pupils, staff or at school level.
These fields will appear within the pupil. user of school area and can also be pulled through as columns or merged into templates.
Adding CDFs
Users with Admin Plus access or above can create CDFs from Admin > Advanced > Custom Data Fields
Any existing CDF will be detailed here and new ones can also be created:
To create a new one, enter the name of the field and what data it is to hold:
Yes / No - holds a Yes or No entry
Date - allows a date to be recorded
Number - holds a number string
Pre-defined - allows a set of user defined choices to be selected in a drop down:
Text - free text field
Next, set whether the CDF is related to Pupils, Users or School level
Pupil CDFs
Any pupil CDF will appear in the Custom Data Items area from within the Edit tab of the pupil profile:
Clicking Edit will allow an entry to be recorded in the selected field.
Use 'choose columns' in Pupil List to display the content of pupil CDFs for the selected pupil (please note that the Custom Data Field column will display all available fields, not just those with data entered against them)
User CDFs
Any user CDF will appear in the Custom Data Items area from within the Edit tab of the Staff profile:
Clicking Edit will allow an entry to be recorded in the selected field.
Importing CDFs
Data can be imported into CDFs via a /csv which includes a unique pupil identifier (eg UPN).
The file will need to consist of a column with UPN and also a column with the CDF data to be imported
UPN |
CDF name |
| X123456789101 | This is the filed data |
Head to Admin > Import, choose file and select upload
For pupil data, choose 'Pupils' from the drop down and select next:
Confirm the header row of the file and select Next:
Ensure the importer has selected UPN for the first column and then select the 'Custom Data Field' option and choose the relevant field:
Select next to import
Using CDFs in templates
PAML can be used to pull through CDF data for pupils.
To do this, use the [pupil.cdfs.CDFNAME.value] convention eg:
[pupil.cdfs.newField.value]
