Sisra Analytics: KS5 - How do I set up Spring census student data? (Admin)

Overview

This article explains how to review and update your KS5 student list and filters stored in Sisra Analytics to make sure they reflect the student information in the Spring Census. This will help to ensure your student information is accurate for headline figures reported on Results Day, as it will align with the data that the DfE uses for exam result reporting.

Prerequisites

You must be an administrator. 

Instructions

Follow these instructions to check and update your student list and filter values:

    1. Select DATA.
    2. Select KS5.
    3. Select Cohort.
    4. Select Students.
    5. Select Cohort to open the Student List:
    6. Review the data:
      1. Check the total number of students On Roll.
      2. Check the Active Students tab, where students with the following Status are listed:
        • On Roll. These students are included in the school performance measures (where eligible).
        • On Roll (Aged 18)*. These students are included in the school performance measures (where eligible). Students are academic age 18 if they are 18 at the start of the reporting year. For example, for the 24/25 leavers cohort, students would need to be 18 on 31/08/2024.
        • Guest*. These students are excluded from the school performance measures, but included in the student performance measures for internal analysis.
        • Year 12 Only and Year 13 Only. These students must have a minimum 2 grades worth at least 1 A-Level entry each (or 1 grade worth 2) to be included in school performance figures.
        • Year 12 Addback*. These students are included in the headline figures for that cohort’s Y12 and Y13 reports. Addbacks are based on the criteria provided by the DfE. See Sisra Anayltics: KS5 Cohort Eligibility for further information.
        • Year 13 Only Aged 18*. These students are included in the headline figures. Students are academic age 18 if they are 18 at the start of the reporting year. For example, for the 24/25 leavers cohort, students would need to be 18 on 31/08/2024.

        * These statuses are selected manually for the appropriate students.

      3. Check the Inactive Students tab, where students with the following Status are listed:
        • Left School. These students are excluded from all reports for the cohort. 
    7. If you need to update your student data, proceed to Step 2.

    You can manually create a new student from here by selecting Add New Student. If you manually add a student, remember, you must also manually add their classes. 

If you need to update your student data, choose an option from:

  • To manually change the status of one or more students, from DATA > Select Key Stage 5 and Cohort > Students > Cohort:

    1. Check Actions next to one or more student names.
    2. Select Change Status
    3. When prompted, change the Student(s) Status:

      1. Select status.
      2. Select Change Status.

    To manually change a student's filter value(s), from DATA > Select Key Stage 5 and Cohort > Students > Cohort:

    1. Select their name.
    2. Select Filters to expand the section:
    3. Select Edit Filters.
    4. Change the filters as required:
    5. Select Save

    Quickly switch to another pupil by selecting their name in Showing detail for:.

  • If you have lots of changes to make, extract the student data from your MIS during Spring Census,  make any changes and save the file in Microsoft Excel, then import it into Sisra Analytics. This will automatically update the cohort and filters automatically.

    Follow these instructions to import the file:

    1. Select DATA.
    2. Select KS5.
    3. Select Cohort.
    4. Select Students.
    5. Select Import.
    6. From Import File - Student Data:

      1. Select the year that the student data relates to.
      2. Select Choose File, and then select the file to upload from your device. 
      3. Select Import.
    7. When prompted, complete any Column Mapping as needed.
    8. Select Continue with the import.
    9. From the Import File - Student Data:

      1. Toggle Update Classes to No.
      2. Toggle Update Filters to Yes.
      3. Toggle Update Statuses to Yes.
      4. Select Complete the import.

After updating your student data:

    1. Go to DATA > Select Key Stage 5 and Cohort > Students > Cohort.
    2. Check all of your students have been awarded the appropriate status in the Students List:
      • If they have, move to Step 4.
      • If they have not, return to Step 2 to make any necessary changes before proceeding.
    1. Go to DATA > Select KS 5 and Cohort > Students > Publish Students.
    2. Select Publish to publish the student data and reflect your changes in the reports.

If you have students who joined after the Spring Census, who won’t affect your school performance, but you would like to analyse internally, set them to Guest status.

Outcome

Your KS5 student list and filters reflect that of the Spring Census. This will help to ensure the accuracy of your student information for reporting in headline figures on Results Day.
