Sisra Analytics: How do I fix invalid EAP Baseline warnings in KS5? (Admin)

Overview

This article describes and provides instructions explaining how to solve any potential issues (flagged as Missing Student Data and Grade Not In Method) that Sisra Analytics finds when it checks the EAP baselines you import for your KS5 cohorts.  

These warnings won’t stop you from publishing, but the affected student(s) will be excluded from on track analysis. Any warning icons flagged must be resolved to ensure accuracy in the reports.

Instructions

Check For Warnings

To check for EAP baseline warnings, after importing your EAP baselines:

  1. Select DATA.
  2. Select Keystage 5.
  3. Select cohort.
  4. Select KS4 / EAP.
  5. Select EAP /Baselines.
  6. Select Baselines Management.
  7. Scan the list for any warning icons in the Grade Count column for the various Baseline Qualifications:

Understanding and fixing EAP Baselines

Select a warning below to understand what it means and how to fix it:

  • Meaning A student has an EAP baseline for a subject but no matching student data in the cohort using that Student ID. The EAP baseline will not pull through to the reports.
    Resolution
    1. Check if the student has data imported in Students > Cohort.
      1. If YES: Check that the Student ID is the same in both the student and EAP Baseline files. If it differs, correct it and re-upload (in KS4/EAP > EAP/Baselines > Uploads).
      2. If NO: Continue to Step 2.
    2. Is the student supposed to be in this cohort, and therefore should have student data imported?
      1. If YES:
        1. Option 1: Upload an updated student data file including the missing student (Students > Import).
        2. Option 2: Manually add the student:
          1. Select KS4 / EAP.
          2. Select EAP / Baselines.
          3. Select Baseline Management.
          4. Select Grade Count for the baseline that has missing student data.
          5. Select the icon in the Actions column to Create Missing Student:
          6. Add their filter information and select Save. Also, manually add any class information for the student by selecting the Classes tab and Add Class
      2. If NO: Remove the student’s baseline:
        1. Select KS4 / EAP.
        2. Select EAP / Baselines.
        3. Select Baseline Management.
        4. Select Grade Count for the subject.
        5. Check the student(s) whose baselines you want to remove.
        6. Select Delete Selected.
  • Meaning

    A baseline grade has been uploaded in a different format than expected, based on the grade type or grade method selected for that subject.

    Resolution
    1. Check if the correct options are selected in the Grade Type and Grade Method columns (as applicable):
      1. Select KS4 / EAP.
      2. Select EAP / Baselines.
      3. Select Baseline Management.
      4. Select Edit:
      5. Select the correct Grade Type and Grade Method as required. If you see: Cannot edit – subject in use in an EAP, contact us.
      6. Select Save.
    2. Check the format of your grades, as specified by the Grade Type or Grade Method:
      1. If the grades should be recognised by Sisra Analytics, contact us.
      2. Otherwise, fix the issue by:
        1. Re-uploading a corrected file through KS4 / EAP > EAP / Baselines > Uploads, or
        2. Editing grades manually if you only have a few grades that need amending:
          1. Select KS4 / EAP.
          2. Select EAP / Baselines.
          3. Select Baseline Management.
          4. Select the subject's Grade Count.
          5. Select Edit Grades.
          6. Enter the correct grade(s):
          7. Select Save.

    KS4 baselines should not be uploaded for students without official KS2 data or valid teacher assessment. A grade of 0 will trigger this error and should be removed if not valid.

Outcome

Your EAP Baseline data will not contain any Missing Student Data or Grade Not in Method data.  No warning messages are displayed. Publish/republish your KS4/EAP data by going to KS4 / EAP > Publish KS4 / EAP and select Publish.
