Sisra Analytics: Baseline Management - How do I fix baseline setup warnings in KS3/4? (Admin)

Overview

This article explains the various setup warning icons you may encounter when uploading KS2 or EAP baseline data. It explains how to resolve the following warnings: Missing Student Data, Grade Not in Method, Core Nomination Incorrect, and Core Nomination Incorrect Grade Type. 

These warnings won’t stop you from publishing, but they could affect the accuracy of your reports.

Check for set-up warnings

To open the Baseline Management page to check for set-up warnings:

  1. Select DATA.
  2. Select Keystage 3/4.
  3. Select cohort.
  4. Select KS2 / EAP.
  5. Select Baselines.
  6. Review the Uploaded KS2 / Baseline table, using the key in the top right of the page to determine any warnings flagged:

Understanding and fixing uploaded KS2 / Baselines

Select a warning below to understand what it means and how to fix it:

  • Meaning A student has a baseline for a subject but no matching student data in the cohort. The baseline will not pull through to the reports.
    Resolution
    1. Check if the student has data imported in Students > Cohort.
      1. If YES: Check that the Student ID is the same in both the student and KS2 files. If it differs, correct it and re-upload.
      2. If NO: Continue to Step 2.
    2. Is the student supposed to be in this cohort, and therefore should have student data imported?
      1. If YES:
        1. Option 1: Upload an updated student data file including the missing student (Students > Import).
        2. Option 2: Manually add the student via KS2 / EAP > Baselines > Grade Count > Create Missing Student. Add their filter information and select Save. Also, manually add any class information for the student by selecting Classes and Add Class
      2. If NO: Remove the student’s baseline from KS2 / EAP > Baselines. Select Grade Count for the subject. Check the student(s) whose baselines you want to remove. Select Delete Selected.
  • Meaning

    A baseline grade has been uploaded in a different format than expected, based on the grade type or grade method selected for that subject.

    For a list of valid values for each grade type, see Valid grade type values below.

    Resolution
    1. Check if the correct options are selected in the Grade Type and Grade Method columns (as applicable):
      1. Go to KS2 / EAP > Baselines.
      2. Select Edit:mceclip6.png
      3. Select the correct Grade Type and Grade Method as required. If you see: Cannot edit – subject in use in an EAP or Baseline Group, contact us.
      4. Select Save.
    2. Check the format of your grades, as specified by the Grade Type or Grade Method:
      1. If the grades should be recognised by Sisra Analytics, contact us.
      2. Otherwise, fix the issue by:
        1. Re-uploading a corrected file through KS2 / EAP > Uploads, or
        2. Editing grades manually if you only have a few grades that need amending. Go to KS2 / EAP > Baselines. Select the subject's Grade Count. Select Edit Grades. Enter the correct grade(s) and select Save:

    KS2 baselines should not be uploaded for students without official KS2 data or valid teacher assessment. A grade of 0 will trigger this error and should be removed if not valid.

  • Meaning

    This indicates that the Core column has not been nominated accurately based on the expected setup for that cohort (as this can change, year on year).

    Resolution
    1. Go to KS2 / EAP > Baselines
    2. Select Edit.
    3. Make sure that only the appropriate subjects for the cohort are nominated under the Core column.
    4. Select Save.

    To check which subjects are expected for that cohort, hover your mouse cursor over the warning icon for a tooltip:

    The following table shows the expected core subjects for each cohort:

  • Meaning

    For the subjects nominated in the Core column of the Baselines section, Sisra Analytics checks the expected grade type has been selected for that cohort, based on DfE guidance.

    This warning is displayed if the incorrect grade type has been selected. The expected grade type will be displayed on the page in italics.

    For leavers cohorts that are officially awarded NC Fine Levels, ensure you have uploaded these to the appropriate number of decimal places for that cohort. This will ensure related measures are calculated in line with the DfE.

    Resolution
    1. Go to KS2 / EAP > Baselines
    2. Select Edit:

    3. Make sure the correct subjects with the correct grade type have been nominated in the Core column for that cohort.
    4. Select Save.

    You should ensure the correct subjects with the correct grade type have been nominated in the ‘Core’ column for that cohort and can change either of these options via KS2 / EAP > Baselines, by clicking ‘Edit’ and selecting the relevant option before clicking 'Save'.

    The following table shows the expected core subjects for each cohort:

Outcome

Your KS2 or EAP baseline data will be free from any issues related to Missing Student Data, Grade Not in Method, Core Nomination Incorrect, and Core Nomination Incorrect Grade Type. No warning messages are displayed. Publish/republish your KS2/EAP data by going to KS2 / EAP > Publish KS2 / EAP and select Publish.
