Overview
The Content Management System (CMS) allows you to drag files from your device to your website's File Manager. If you prefer, you can also select Upload File to browse and upload them from your computer. Once added to the File Manager, documents and images can be used within your website content.
Depending on your permissions, you will see either a Website Files folder, shared by all administrators, or a personal Home Files folder if you do not have administrator access.
Uploading Files
- Select File Manager from the Home tab.
- Navigate to the folder you want to upload (or right-click to create a new one):
- Either:
- Drag and drop a file from your device into the File Manager window.
- Or within the File Manager select Upload File and choose the file you want to upload. You can select more than one file to upload.
- Select Open to upload the selected file(s) to the File Manager.
There is usually a 5MB file size limit when uploading files to File Manager. We compress the images you upload, but please consider their size as it affects page loading speed and data usage. Many tools are available to resize images before uploading.
Renaming Files
In File Manager:
- Select the file name text. The text will become editable for renaming:
- Enter the new file name.
- Select Enter on your keyboard.
Deleting Files
In File Manager:
- Hover your mouse cursor over a file to view the files hover menu.
- Select the Delete Files icon:
- The Confirm Delete window loads:
- Select Delete to remove the file from your website.
Downloading Files
In File Manager:
- Hover your mouse cursor over a file to view the files hover menu.
- Select the Download File icon:
- The file is automatically saved to the downloads folder on your device.
Viewing File Information
To view file information such as last modified date, file size, file name, owner ID, owner name and alias name, in File Manager:
- Hover your mouse cursor over a file to view the files hover menu.
- Select the File Information icon:
- Scroll through the drop-down to view the file information.
Rotating Images
In File Manager:
- Hover your mouse cursor over the image file to view the files hover menu:
- Select either rotate counter-clockwise or clockwise icon to rotate the image and save the change straight away.
Cropping Images
Where the crop feature is enabled, for example, in the Slideshow folder, Staff-Profiles folder, and folders holding photos for pages with grid layouts you can crop images:
- Open the folder inside your Images folder where the image you want to crop is stored.
- Roll over the image that you want to crop to view the image toolbar:
- Select the Crop Image icon:
- From the Crop Image window, select the area to crop (you can enlarge the crop shape as needed):
The dashed outline will turn green when your selection is appropriately sized for the image type, otherwise, it will display as red. - Select Crop to make your crop:
Moving Files
This option should be used with caution. It will break the link between any files already added to your content and the file. You will be warned before completing the task, so please only confirm the move if you are confident the item is not used or, you know where it is on your site, so that you can update the link.
From the File Manager:
- Left-click and hold a file.
- Drag the file to another folder with your mouse.
Search Function
In File Manager:
- Select the Search magnifying glass icon:
- Enter your search term:
Document Review Reminders
If you would like reminders when an file manager needs to be updated, you can set a review date, choose an administrator or publisher as the reviewer, and add additional email addresses to receive reminders.
In File Manager:
- Browse to the document you would like to set for review.
- Hover over the file and select the Document Review icon:
- From the Document Review window, complete Send a review reminder with a review reminder date, and select a Reviewer from the list of website administrators and publishers. Optionally, add any Additional email address(es) you want to send the review reminders to:
When adding more than one email address into Additional email address(es) separate them using a comma. - Select Save.
After the reminder has been set up, if the review date is not updated, reviewers will receive an email notification 90 days, 60 days, 30 days, and 7 days before the review date, as well as on the date of the review. Once the review date is inside the 90-day review window, the reviewer will also see an item to review within their My Tasks area of the Content Management System.
